# An AI chatbot that books appointments for you

Visitors who are ready to talk should not have to fill in a form and wait. Owlbee lets them pick a time in the chat and confirms the booking straight away, day or night. It books the call itself, not just a link to another scheduling tool.

## How booking works in the chat

1. ### The visitor asks to book

They click the Book a call button or ask in their own words, such as "can I talk to someone on Thursday afternoon?".
2. ### Owlbee shows real free times

The chat shows a calendar of open slots from your availability. Visitors can also type a time like "next Tuesday at 10", and Owlbee accepts it only if that exact slot is free.
3. ### They leave their details

Name, email and phone number are collected in the conversation.
4. ### Everyone gets a confirmation

You and the visitor both receive an email with a calendar invite (.ics) attached and a link to cancel. The call appears in your Scheduled Calls dashboard.

## You stay in control of your time

Set your availability once for your account, then switch booking on for each chatbot that should offer it.

- Your time zone and weekly working hours
- Call length, for example 15, 30 or 60 minutes
- A buffer between calls
- Minimum notice, so nobody books a call that starts in ten minutes
- How many days ahead people can book
- Which email address receives booking notifications
- No double-booking: a slot disappears the moment it is taken
- Either side can cancel from the link in the email

## Sync busy times from your calendar

Paste the public or secret iCal address of your **Google Calendar**, **Outlook** or **iCloud** calendar, or any other `.ics` link, into a chatbot's calendar settings. Events in that calendar count as busy, so those times are hidden from visitors. You do not have to connect an account or grant access to your inbox. Owlbee only reads the calendar feed.

The calendar is refreshed in the background, so the chat never waits on it. If a sync fails, Owlbee keeps the last busy times it read successfully.

## One setup step people miss

The Book a call switch on a chatbot only starts working after you save your account availability under Scheduling settings. Until then the chatbot answers as if booking does not exist.

## Who uses chat booking

Booking in the chat suits any business where a conversation comes before a sale: consultants, agencies, clinics, salons, tutors, trades and professional services. Read how [service businesses use Owlbee](https://owlbee.ai/use-cases/service-businesses) to answer questions and fill their calendar out of hours.

## Frequently asked questions

### Can a chatbot book appointments automatically?

Yes. With Book a call turned on, Owlbee offers free slots from your availability, collects the visitor's name, email and phone, and confirms the booking without you stepping in.

### Does Owlbee connect to Google Calendar?

It reads your Google Calendar through its iCal link, so events there block those times. It does not need you to sign in with Google, and it does not write events into your calendar. Confirmed calls come with a calendar invite you can add.

### Can visitors cancel a booking?

Yes. The confirmation email includes a cancel link, and you can cancel from your Scheduled Calls dashboard. Both sides are told by email.

### Can visitors reschedule a booking?

There is no separate reschedule button. A visitor cancels from the link in their confirmation email and books a new time in the chat, and you are told about both by email.

### Does booking cost extra?

No. Book a call is not limited to particular plans. Reading a calendar link that is not a standard iCal feed uses a small amount of your AI usage.
